IT Support for Recruitment AgenciesIT support for recruitment agencies whose database is the business.
A recruitment agency's value sits in its candidate and client database, and the people with the easiest access to it are the consultants most likely to leave for a competitor. We run the IT for recruitment agencies: Microsoft 365 or Google Workspace locked down so candidate data stays with the agency, the CRM protected behind proper sign-in, phones that follow the consultant, and joiners and leavers handled the day they happen.
Who this is for
Agencies and employment businesses placing permanent, contract and temporary workers, on CRM and applicant tracking systems such as Bullhorn, Vincere, Firefish, Mercury or JobAdder, with consultants on the phone all day, a steady flow of joiners and leavers, and nobody whose job is IT.
Candidate data, UK GDPR and how long you keep a CV
Every CV, interview note, reference and right-to-work document is personal data, and some of it, such as health information or criminal record checks, is special category or criminal offence data with stricter rules. The ICO's employment guidance covers recruitment and selection, and it is consistent on the basics: collect what you need, tell candidates what you do with it, keep it secure, and do not keep it longer than you can justify.
Retention is where agencies struggle. The Conduct of Employment Agencies and Employment Businesses Regulations 2003 require certain records to be kept for at least a year, the Home Office guide sets out how long right-to-work copies must be kept, and beyond that the agency has to decide and document its own periods. We help you turn that decision into retention policies in Microsoft 365, or in Google Vault on Google Workspace editions that include it, so CVs sitting in mailboxes and shared folders are deleted on schedule rather than kept for ever, and so a subject access request can be answered from a search rather than a week of digging.

Consultants who leave with the database
The common data loss in recruitment is not a hacker. It is a consultant exporting candidate lists, forwarding CVs to a personal address or syncing the shared drive to a home laptop in the weeks before they resign. Microsoft 365 Business Premium has the controls to make that hard: Conditional Access so the agency's data opens only on devices it manages, browser-only access with downloads blocked on personal devices, data loss prevention policies that warn on or block bulk sharing of personal data, and alerts on forwarding rules to outside addresses.
Inside the CRM, export rights are a setting in the CRM itself. We review who has them with you, and where the CRM supports single sign-on with Microsoft 365 or Google Workspace we put it behind the same sign-in and Conditional Access as everything else, so switching off one account closes the lot.
Timesheets, payroll and invoice redirection
Agencies that run contractor and temp payroll move money every week, which makes them a target. The usual routes are a compromised mailbox used to change a contractor's bank details before a pay run, a fake client email asking for remittance details to change, or a spoofed director asking finance to make an urgent payment. The controls are multi-factor authentication for every account, impersonation protection tuned for your directors and key clients, alerts on new mailbox rules, and a written process that bank detail changes are confirmed by phone on a known number. We put the technical half in place and help you write the other half.

Phones, churn and client questionnaires
Consultants live on the phone. Teams Phone gives each one a number that works on a desk phone, laptop or mobile app, moves with them between desks and home, and can be recorded where the agency needs it for training or disputes. When someone leaves, the number can be reassigned to their replacement so candidates and clients still get through.
Joiners and leavers are constant in recruitment. New starters get a laptop and accounts that are ready before day one, and leavers are closed down the same day: sign-ins blocked, sessions revoked, devices wiped or recovered, mailbox and CRM records handed to a manager. And when a client's PSL or framework onboarding questionnaire asks for Cyber Essentials, the controls it requires are the ones we put in place as standard, so certification is a short project rather than a reason to lose the tender.
On Google Workspace? Candidate data protected there too
Plenty of agencies run on Gmail and Google Drive, and we support Google Workspace as fully as Microsoft 365. We give honest advice on which fits and do not ask you to move. The aim is the same: candidate data stays with the agency. We enforce 2-Step Verification on every account, with security keys or passkeys for admins, keep admin roles to the people who need them, lock down external sharing on Drive and shared drives so CV folders cannot be shared to a personal address, restrict which third-party apps can connect to your accounts, and alert on suspicious sign-ins and on mail forwarded outside the agency.
On editions that include them, data loss prevention rules flag bulk sharing of personal data, context-aware access limits agency data to devices you manage, and Vault holds your retention schedule and answers subject access searches. Laptops and phones are managed through Google endpoint management or Intune on a standalone licence. Gmail, Drive, Calendar and Contacts are backed up outside Google and kept for seven years in the UK, as a separate per user service, and Cyber Essentials for PSL questionnaires works the same on either platform.
What is included
Helpdesk and monitoring
Unlimited remote support from the helpdesk, Monday to Thursday 08:45 to 17:00 and Friday 08:45 to 16:00, with every device monitored and patched around the clock and alerts raised to the helpdesk.
Microsoft 365 or Google Workspace configured for candidate data
On Microsoft 365, Business Premium with MFA for everyone, Conditional Access, Defender for Office 365 tuned for impersonation and payment fraud, data loss prevention for personal data, and retention set to the agency's own schedule. On Google Workspace, 2-Step Verification enforced, Drive sharing locked down, forwarding alerts, and data loss prevention and Vault retention on editions that include them.
Device management
Every laptop and phone enrolled in Intune or Google endpoint management, encrypted and wipeable; personal devices limited to browser access with downloads blocked.
CRM and ATS
Systems such as Bullhorn, Vincere, Firefish, Mercury and JobAdder protected behind Microsoft 365 or Google sign-in where they support it, integrated with Outlook or Gmail, and export permissions reviewed with you.
Joiners and leavers
New starters ready before day one, leavers closed down the same day with mailbox, files, phone number and CRM records handed over, with a record of both.
Backup, tested
Microsoft 365 mailboxes, OneDrive and SharePoint, or Gmail and Drive, backed up outside Microsoft or Google, kept in the UK, restores tested every quarter with the result shown to you. Microsoft 365 and Google Workspace backup is a separate service, priced per user per month on top of support.
Evidence
Cyber Essentials certification, and documentation written to answer a client's PSL, framework or supplier security questionnaire.
What is not included, and why
- The CRM, job board and LinkedIn Recruiter licences themselves. You buy those from the vendor; we make sure they are protected and work with Microsoft 365 or Google Workspace.
- Legal advice on your data protection or employment agency obligations. We put in the technical controls and the evidence; your directors and data protection lead own the compliance.
- Teams Phone and connectivity are separate services, covered on the Teams Phone and broadband pages.
What it costs
Managed IT support for recruitment agencies is priced per user per month, with security monitoring and device management included, so it moves with your headcount. Microsoft 365 or Google Workspace backup is a separate service, also priced per user per month. Licences are extra at Microsoft's or Google's price: Microsoft 365 Business Premium is £16.90 per user per month at Microsoft's UK price. Onboarding, any migration work and Cyber Essentials certification are quoted as fixed projects. We quote after a short discovery call, once we know your setup.
How it starts
- 1Free IT Health CheckA short online check that benchmarks your security and business risk and tells you where you stand.
- 2Discovery callAn engineer, not a salesperson. What you have, what is broken, what it would cost to fix, in writing.
- 3OnboardingEverything moves across on a plan, with no gap in cover and nothing lost.
Questions people ask before signing
How do we stop a consultant taking candidate data when they leave?
You cannot make it impossible, but you can make it hard and visible. Agency data opens only on managed devices, personal devices get browser access with downloads blocked, data loss prevention flags bulk sharing of personal data, forwarding to personal addresses is blocked and alerted on, and CRM export rights are limited to the people who need them. On the day they leave, everything is closed at once.
How long should we keep candidate CVs?
There is no single number. The Conduct Regulations set a minimum for certain records, right-to-work copies have their own Home Office rules, and beyond that the agency decides and documents a period it can justify under UK GDPR. We do not set the policy for you, but once you have it we make Microsoft 365, or Google Vault on editions that include it, enforce it.
Do you support our CRM?
We support systems such as Bullhorn, Vincere, Firefish, Mercury and JobAdder. We are not the vendor's helpdesk, but we look after the sign-in, the Outlook and phone integrations, the devices it runs on and the permissions review, and we work with the vendor on the rest.
Can our consultants' calls be recorded?
Yes. Teams Phone supports call recording, and for agencies that need every call captured, compliance recording products are available and quoted separately. Recording has its own data protection obligations, so we will ask how you intend to use the recordings and how long you keep them.
A client is asking for Cyber Essentials on a PSL questionnaire. How long does it take?
Usually a few weeks from a standing start, less if Microsoft 365 or Google Workspace is already configured properly. The controls are the ones we put in place as standard, and certification is a fixed-price project on the Cyber Essentials page.
When is support available?
The helpdesk is open Monday to Thursday 08:45 to 17:00 and Friday 08:45 to 16:00. Devices are monitored and patched around the clock, and alerts go to the helpdesk. On-call engineering outside office hours is an optional extra rather than part of the standard price, so speak to the team if you need it. Support is remote first, with on-site visits where they are needed.
We use Google Workspace. Can you still protect our candidate data?
Yes. We support Google Workspace and Microsoft 365 and will not push you to switch. We enforce 2-Step Verification, lock down Drive sharing, restrict third-party apps, alert on forwarding, use data loss prevention, context-aware access and Vault on editions that include them, manage devices and back up Gmail and Drive outside Google. Leavers are closed down the same day either way.
How much does IT support cost for a recruitment agency?
Managed support is priced per user per month with security included, so it moves with your headcount. What changes the figure is the number of users and devices, any servers, the security options you choose and any specialist software. Backup is a separate per user service, Microsoft 365 or Google Workspace licences are at Microsoft's or Google's price, and projects such as onboarding are quoted as fixed pieces of work. We quote after a short discovery call, once we know your setup.
